Odoo connector¶
Optional component
The connector is a separate component, not a feature of the app: it only serves the organizations that use (or want to use) Odoo as their management system. If your organization does not use Odoo, you can skip this section: nothing you read in the other guides changes.
AppToMe handles fieldwork well: shifts, availabilities, attendance, vehicles, checklists, courses. It is not, however, an administrative management system: it does no accounting, electronic invoicing, donation management or tax-allocation reporting.
Many organizations keep that part in Odoo. The Odoo connector is the bridge between the two systems: what volunteers do in AppToMe reaches Odoo by itself, without anyone rewriting the data by hand.
Who it is for¶
It makes sense if you recognise yourself in at least one of these situations:
- you already use Odoo for accounting, invoices, donations or payroll, and today you copy volunteers' records and hours by hand;
- you have to report the hours actually carried out to an authority, and the hours are born in AppToMe but the documents are made elsewhere;
- you keep the vehicles in two places — records and bookings in AppToMe, costs, maintenance and insurance in Odoo;
- you want a single list of people, valid for operations and for administration.
If instead AppToMe is enough for you as it is, the connector adds nothing useful: do not enable it.
What it does, in short¶
- A single registry — volunteers are the same people in both systems, and the changes made in Odoo come back to AppToMe.
- Certified hours automatically — when a manager certifies the hours of a shift, the corresponding attendance appears in Odoo, ready for reporting.
- Shifts, activities, checklists and courses consultable in Odoo, read only, for those who work in administration and do not use the app.
- Vehicles aligned between Odoo's fleet and AppToMe's vehicles.
- Access with a single account — on Odoo's login page the Log in with Apptome button appears.
The detail is in What gets synchronised.
What it does not do¶
Better said straight away, to avoid wrong expectations:
- it does not replace AppToMe: shifts are still created and covered in the app, not in Odoo;
- it is not two-way on everything: only people and vehicles can be edited from both sides. Everything else is a read-only mirror, because the truth about operations lives in AppToMe;
- it is not a ready-made management system: accounting, invoicing and compliance are configured in Odoo, as for any other organization;
- it works no magic on dirty data: if in Odoo the same person appears three times, the first alignment is precisely there to tidy up.
What it costs¶
The connector is free and is distributed under an open licence.
The organization remains responsible for the Odoo instance (in the cloud or on its own server), any customisations and the Odoo partner who looks after them. AppToMe does not sell Odoo and is not an Odoo supplier: it provides the bridge and the credentials for your environment.
What is needed to start¶
| Needed | Who deals with it |
|---|---|
| An Odoo 18 instance reachable over the internet | your Odoo partner |
| Your organization's connection credentials | AppToMe support |
| Installing and configuring the connector | your Odoo partner |
| The first alignment of the registries | your Odoo partner, together with someone in the organization who knows the people |
The last point is the one requiring most attention and the only one where someone from the organization is needed: no automation knows whether "Mario Rossi" in Odoo and "Rossi Mario" in AppToMe are the same person.
How to continue¶
-
The list of data, the direction it travels in and where to find it again in Odoo.
-
What changes in everyday work for volunteers, staff and administration.
-
The stages of activation. A technical chapter, aimed at the Odoo partner.
-
How to notice that the synchronisation has stopped and what to report.
Asking for activation¶
Write to AppToMe support stating that you want to connect Odoo, who your Odoo partner is and which data you are interested in taking into the management system. You are given your organization's connection credentials, to pass on to the partner.
