Frequently asked questions

The questions that come up most often, with the point in the manual that solves them. If what you are looking for is not here, the search at the top searches inside every page.

Shifts and availability

"I cannot see the button to make myself available." You need the task required, and the place has to still be useful: if the requirement is already met the button disappears. The exact conditions are in Why I do not see the button to offer myself; the calendar's time limits in When you cannot act.

"A colleague sees a calendar I do not see." That calendar is reserved for certain groups — see Why a colleague sees a calendar you do not.

"They have the task, but do not appear among the eligible." The tasks that count are not only the ones ticked by hand: How the abilities that count are formed.

"The shift shows as uncovered even though the people are there." Coverage looks at the requirements one by one: How AppToMe decides whether a shift is covered.

"I recorded an absence and the person's shifts disappeared." It is the expected behaviour, and it is irreversible: Absences.

Notifications

"The notification did not reach me." In order of actual frequency — account not linked, alert already sent, channel off, post filter, condition not true, check not yet run: When a notification does not arrive.

"When do the reminders go out?" Shifts and lessons in the morning for the following day, the rest every few minutes: What AppToMe does on its own, and how often.

"Can a second reminder be sent?" No: every alert goes out once only — The three rules of notifications.

Hours, statistics and your card

"The hours do not add up." Approved availabilities count, not clockings: How the hours are counted.

"The Dashboard numbers differ from the statistics." Personal counters are recalculated at intervals: How these numbers are calculated.

"I finished the shift and my card did not grow." The card is updated about every quarter of an hour, and only with approved availability: When the card grows.

Shift swaps, invitations, vehicles

"The shift swap did not go through." Tasks, coverage and fresh checks at the moment of the answer: What AppToMe checks on your behalf.

"The availability request has disappeared." It expires by itself at its deadline, at the start of the shift or once coverage is reached: How an availability request behaves.

"I cannot assign a vehicle to the shift." Another shift or an approved booking is holding it: Managing the bookings and How the requests behave.

"I took supplies from the warehouse: do I have to record it?" Yes, if your organization uses the Warehouse: Menu → Warehouse → Consumption. See Warehouse.

Account and organizations

"I don't get the code to log in." Spam folder, misspelled address, or your password if you have one: Logging in.

"I signed up with the wrong email." You fix it from the profile with a code to the new mailbox: Changing your email.

"I changed organization and cannot find my data any more." Shared profile, separate service data: How the account works.

"A volunteer receives nothing, ever." Almost always the registry record has no linked account: Person and user: two different things.

"I cannot add any more people." There is a cap tied to the contract: Adding a person.

"I can't see my membership fee in the app." Fees, receipts and the member register are seen only by the staff who keep the accounts: ask them for the receipt of your fee.

"I recorded the fee but the member shows as Missing." Only Members → Fees → Record fees marks the fee as paid: that is why Record income and Several entries do not accept it. A fee recorded as an ordinary income back when that was possible does not count: record it from Record fees and delete the other one. See Fees.

"A feature described here is not in my app." It depends on the active modules and on the permissions: Active modules and Roles and permissions.

App updates

"Which version am I using?" It is written at the bottom of the menu and at the bottom of the profile, and it is the first thing to attach to a report: Which version am I using.

"I get 'A new version is available'." Tapping Update the app updates itself; if you are in the middle of a shift you can dismiss the notice: When a new version comes out.

"It asks me to update from the store." That version requires a part of the app that is only updated from the App Store or Google Play: When you have to go through the store instead.

Odoo

"A datum is missing in Odoo." Three questions in order, before reporting: The first check. If the datum is from yesterday, it may be missing for just a little longer: How the data travels.
